Inclement Weather Protocol

Procedures for Inclement Weather

Prior to 6:00 AM, in case of inclement weather a determination will be made as to whether snow removal can be accomplished prior to the start of 8:00 AM classes.

  1. Campus Police will contact appropriate facilities representative to evaluate whether snow removal can be accomplished prior to 8:00 AM classes for each campus site. Every effort will be made to complete task. There should be options in place to contract resources necessary to accomplish task.
  2. If snow removal is possible-business as usual at all campuses, with no notice to the media.
  3. If snow removal is not possible, or conditions are such that it would be a safety hazard to hold classes and/or open offices. Facilities will inform Campus Police.
  4. Campus Police will contact the President prior to 5:00a.m. - 6:00a.m. and set up a conference call with Facilities, Office of Public Information, Prescott Campus Dean, Prescott Valley Campus Dean, Chino Valley Campus Dean, Verde Valley Campus Dean or designated alternates to report and discuss current and forecasted inclement weather conditions. A decision may be made to close specific campuses for the day (including night classes) or to announce delayed start (classes beginning prior to 10:30 AM canceled).
  5. If campuses are closed or delayed, notification will be conducted in the following manner. Sue Sammarco or designated alternates will be contacted by Campus Safety to complete the following:

a. Prior to 6:00 AM a pre-recorded phone message (pre-approved through the Office of Public Information) will be placed on the appropriate primary campus phone number regarding the status of classes at that campus.

b. Prior to 6:00 AM a message will be posted to the main College web page (pre-approved through the Office of Instruction) regarding the appropriate campus closure or delayed class start.

c. Emails will be sent out to all subscribers to the College Inclement Weather Alert system.

d. Switchboard operator will place an announcement (pre-approved by the Office of Public Information) on the electronic sign at the entrance to the Prescott Campus.

e. Office of Public Information will notify radio stations providing the following information; campuses closed or delayed, interactive class locations also affected, day and night classes and campuses which will operate on scheduled.

After 8:00 AM, in case of inclement weather, a conference call with Facilities, Office of Public Information, Prescott Campus Dean and Chino Valley Dean or designated alternates will discuss current and forecasted inclement weather conditions. A decision may be made to close specific campuses for the remaining portion of the day (including night classes).

All classes currently in session at the time a determination is made to cancel classes will be contacted in the following manner specifically addressing; canceled classes locations and times including all interactive classes and campuses.

  1. A pre-recorded phone message (pre-approved through the Office of Public Information) will be placed on the appropriate primary campus phone number regarding the status of classes at that campus.
  2. A message will be posted to the main College web page (pre-approved through the Office of Instruction) regarding the appropriate campus closure or delayed class start.

Inclement Weather Driving Tips

  1. Keep your distance! It is recommended to allow at least 4 seconds of stopping distance from the car in front of you.
  2. Slow down! Travel with the flow of traffic and don't be in a hurry. Speed limits are for optimum driving conditions, not during rain or snow.
  3. Allow more time! Set the alarm earlier. Give yourself an extra 15-30 minutes travel time.
  4. Clear off your car! Start your car and run your defrosters at least 5 minutes before you are ready to leave. Clean off snow or ice from windshield, head and tail lights, mirrors and license plate.
  5. Check your wipers! Make sure that wipers are functioning and are not frozen to the windshield.

On Campus Tips

  1. Walk slow! Take slow deliberate steps.
  2. Wear proper shoes! Wear a shoe or boot with a rubber sole and good support. Leave your leather soled shoes at home or carry them to the office and change once inside the building.
  3. Watch for ice! Just because the snow has been cleared from the parking lots and sidewalks, there still may be ice. Don't carry heavy or bulky items in your arms. Hold onto hand rails when going up any steps.
  4. Don't rush! When moving around campus, take your time. Allow extra time to get to class during inclement weather.
  5. Watch for cars! When the roads and parking areas are snowy and icy be extra careful when crossing roads and walking through parking lots.
