Assistant IV / Executive Assistant
Exempt
Performs exempt work requiring understanding of a specific function or body of knowledge.
Works within a specific department and performs exempt duties that require an advanced knowledge of a unique function within the college
High school diploma or GED required; two years of college preferred
Minimum of four years of experience required, including two in the area of specialty.
To perform this job successfully, an individual should have proficiency in MS Office products to include Word, Excel, PowerPoint, and Outlook. Incumbents may be required to learn applications related to the area of assignment.
Requires tact and courtesy when interacting with others; requires some influencing and work prioritization to accomplish responsibilities
Directly supervises 2 to 4 employees in a department. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Manages supervisor's calendar and independently schedules appointments. Screens incoming calls and correspondence and responds independently when possible. Prepares memorandums outlining and explaining administrative procedures and policies to supervisory workers, and monitors compliance. Arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget. Prepares agendas, notices, and minutes for meetings. Acts as custodian of department/division documents and records. Composes and prepares confidential correspondence, reports, and other complex documents. Creates and maintains database and spreadsheet files. Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings, and accompanies supervisor when requested.
