Facilities Management

Request maintenance, manage building access, reserve a college vehicle, plan space changes, and find Facilities forms and guidance.

After-hours or weekend emergency: Call Campus Safety at 928-237-0420. Report fire, flooding, major leaks, gas odor, power outages, critical HVAC failures, immediate safety risks, or conditions that may damage a building or stop classes or work.

Facilities helps maintain safe, clean, functional, and comfortable environments for learning and work across Yavapai College locations.

Repairs and service

Maintenance requests and emergencies

Use the request type that matches the urgency and impact of the problem.

Department liaisons or supervisors who are approved requestors should submit non-emergency requests through MainBoss.

  • Urgent during business hours: Call 928-776-2180 for hot/cold comfort problems, fire-related issues, leaks, spills, and restroom or plumbing problems.
  • Non-urgent: Enter a MainBoss work request. Typical completion is one to three weeks, depending on scope, parts, scheduling, and priority.
  • No update after three weeks: Email facilities@yc.edu and include the request details.

An after-hours emergency is a condition that creates an immediate safety risk, threatens building damage, or significantly disrupts classes or work.

  • Fire, smoke, or a suspected gas odor
  • Flooding, a major leak, or a serious plumbing failure
  • A power outage affecting critical operations
  • A critical HVAC failure during severe temperatures
  • Any other condition that may injure someone or cause substantial damage
Call Campus Safety at 928-237-0420. Campus Safety will contact the Facilities on-call employee when needed.

Submit a MainBoss request and include the building number, room number, and the exact sign wording entered line by line.

Departments purchase whiteboards and corkboards. Facilities can install them through a MainBoss request. After installation, Facilities does not routinely move or remove them because wall repair and painting may be required.

  • During campus closures, contact Campus Safety at 928-237-0420 before entering a campus location.
  • Do not prop exterior doors. Open doors reduce HVAC efficiency, create pest-control problems, and may create security risks.

Buildings and credentials

Access, ID cards, Mobile ID, and keys

Access requests must identify the exact locations needed and follow the required approval process.

A supervisor should complete the Location Access Request Form, obtain approval from the dean or division director, and email it to facilities@yc.edu.

  • ID cards and Mobile IDs require a photo upload through the myYC portal before building access can be configured.
  • List every building number for which card or Mobile ID access is requested.
  • Request metal keys by campus location, building, and room number—not by the number stamped on the key.
  • For cabinet or file-drawer keys, provide the key-core number shown on the lock.

Planning and stewardship

Purchases, space changes, and property disposal

Facilities review helps protect building systems, accessibility, safety, maintenance capacity, and long-term space use.

Contact Facilities before purchasing an item that will be placed on the floor, mounted on a wall, used outdoors, or connected to electricity.

  • Email facilities@yc.edu with a product link, dimensions and specifications, a photo, and the intended location.
  • Facilities will provide written approval when appropriate.
  • For a purchasing-card transaction, include the approval email with the receipt.
  • A Space Allocation Form may also be required.

Use the form for:

  • Assigning an office to a new or existing employee
  • Purchasing specialized equipment that requires service or maintenance
  • Requesting new furniture, furniture rearrangement, or a room refresh
  • Changing the existing use of a room or area
  • Requesting remodeling or other physical alterations

Major purchases or remodeling require an identified capital, grant, or department funding source.

  1. Complete the Property Disposal Form and obtain budget-manager approval.
  2. For a capital asset valued at $5,000 or more, include the asset-tag number, serial number, and description.
  3. Email the approved form to facilities@yc.edu.
  4. Facilities will coordinate pickup.

College transportation

Vehicle eligibility and reservations

Facilities vehicles are available for approved college activities and may be driven only by approved drivers.

Available vehicle types

  • Three 12-passenger vans
  • One sedan
  • One pickup truck with a hitch
  • One box truck

Driver eligibility

  • Upload a valid driver license and current insurance card through the Driver Credentials form. YC login is required.
  • Facilities can request a 39-month Motor Vehicle Record from ADOT for an Arizona license.
  • Drivers licensed in another state must obtain their own 39-month Motor Vehicle Record and email it to facilities@yc.edu.

Email facilities@yc.edu with:

  • Driver name
  • Date or dates of travel
  • Destination
  • Requested vehicle type
  • FOAP for single-day travel, or an approved Travel Request Form for multi-day travel

The driver must complete the driver-credential process before the reservation is made.

Cancel promptly. Notify Facilities as soon as possible when a vehicle is no longer needed so it can be released to another college user.

Travel packets and keys are issued on the business day before travel during Facilities office hours:

  • Monday–Thursday: 7:30 a.m.–4:30 p.m.
  • Friday: By appointment only during fall and spring semesters
